Participants Exhibitors Non-descrimination / anti-harassment

Participants
Participant cancellations: pre-paid registration fees are refundable less a $100 USD processing fee if notification of cancellation is received in writing on or before Monday, 20 July 2020. Cancellations after Monday, 20 July 2020 will result in forfeiture of the entire participant registration fee; however, a substitute registrant will be accepted by ECRIS20 organizers.

Hold Harmless Clause
The participant assumes the entire responsibility and liability for losses, damages, injuries and claims arising out of participant activities during the workshop and will indemnify, defend, and hold harmless Michigan State University (MSU), Facility for Rare Isotope Beams (FRIB), the Department of Energy (DOE), and the National Science Foundation (NSF) as well as their respective agents, servants, and employees from any and all such losses, damages, injuries, and claims.

Exhibitors

Exhibitor cancellations: pre-paid booths fees are refundable less a $300 USD processing fee if notification is received in writing by Monday, 15 June 2020. Cancellations after Monday, 15 June 2020 will result in forfeiture of the entire exhibitor registration fee. Refunds will be made by credit card, check or bank transfer, depending on the original payment method.

Sponsorship cancellations: pre-paid sponsorship fees are non-refundable.

All cancellations must be made in writing via email to ecris20@frib.msu.edu

Compliance
The Exhibitor assumes all responsibility for compliance with all pertinent ordinances, resolutions and codes of duly authorized local, state, and federal governing bodies concerning fire, safety and health, together with the rules and regulations of the Facility for Rare Isotope Beams and Michigan State University.

Logo Usage
Upon registering as an Exhibitor in the ECRIS20 Industrial Exhibition or a Sponsor of the ECRIS20 Workshop, you grant ECRIS20 permission to use your company’s logo in promotional materials including on the workshop website, in the printed workshop program and on directional signage.
Upon receiving written confirmation of payment in full from ECRIS20, please send your high-resolution company logo graphic (300 dpi or greater) to ecris20@frib.msu.edu for inclusion in the ECRIS20 Workshop Program and on the ECRIS20 website.

Non-descrimination and anti-harassment policy

We are committed to providing a workshop experience where everyone is treated with respect, free from discrimination or harassment based on race, color, gender, ethnicity, ancestry, national or cultural origin, religion, creed, sexual orientation, gender identity and expression, pregnancy, age, disability, physical appearance, body size, genetic information, veteran or military status, marital status, citizenship status or socio-economic status, or on any other legally prohibited basis.

Discrimination or harassment of workshop participants will not be tolerated in any form. Workshop participants violating this rule may be sanctioned or expelled from the workshop without a refund at the discretion of the workshop organizers.

Harassment includes: offensive verbal comments, sexual images visible in public spaces, deliberate intimidation, stalking, following, harassing photography or recording, sustained disruption of talks or other events, inappropriate physical contact, and unwelcome sexual attention.

Exhibitors in the Industrial Exhibition are also subject to the anti-harassment policy. In particular, exhibitors should not use sexual images, activities, or other material in their displays. Booth staff (including volunteers) should not use sexual clothing, uniforms, costumes, or otherwise create a sexualized environment.

If a participant engages in harassing behavior, the workshop organizers may take any action they deem appropriate, including warning the offender or expulsion from the workshop with no refund. If you are being harassed, notice that someone else is being harassed, or have any other concerns, please contact a member of the workshop staff immediately.

Workshop staff will be happy to help participants contact hotel/venue security or local law enforcement, provide escorts, or otherwise assist those experiencing harassment to feel safe for the duration of the conference. We value your attendance.

Participants are expected to follow these rules at all workshop venues and workshop-related social events.
