On behalf of the International Organizing Committee (IOC) and Local Organizing Committee (LOC), it is our great pleasure to invite you to the 2021 International and Virtual Conference on Radio Frequency Superconductivity (SRF 2021). The conference will take place from Monday 28 June to Friday 02 July 2021, and will be hosted by Michigan State University (MSU).
Unfortunately, the COVID-19 pandemic is seriously impacting most aspects of life worldwide and especially curtailing domestic and international travel. Anticipating that life and travel are unlikely to be back to normal by the summer of 2021, the IOC made the difficult decision to postpone the original plan for an in-person conference in 2021 to 2023. MSU already had a contract in place with a hotel in Grand Rapids, Michigan, USA for the in-person conference in June 2021. The hotel is allowing for a rescheduling of the event without penalty, subject to availability of rooms and facilities.
When we faced the choice of postponement of the conference by 1 or 2 years, a precedent was set by the organizers of the International Linear Accelerator Conference, who elected to convene a virtual conference in September 2020 and postpone the planned Liverpool, UK in-person conference by 2 years. Recognizing that the SRF Conference and Linac Conference have a significant overlap in content and participants, the SRF Conference IOC/LOC and the Linac Conference organizers agreed that as the best solution, MSU postpones the next in-person SRF conference by 2 years, host a virtual SRF conference in 2021, and the conference at RIKEN shifts to 2025, thereby preserving the synchronization between conferences. The IOC choice to convene a virtual SRF conference in 2021 was strongly influenced by our desire to provide a forum for the SRF community, particularly students and early-career researchers, to share information, interact with their peers, and publish their research without a 4-year gap between conferences.
A virtual conference will have some advantages over an in-person conference. We will work to maximize the benefits of the virtual format. The conference will include invited oral talks by video-conference (in a format similar to IPAC 2020 and Linac 2020), and several virtual reality poster sessions (in a format similar to the 2020 Neutrino Physics and Astrophysics Conference hosted by Fermilab). With the need to accommodate different time zones, the sessions will be limited to 4 hours per day (time zone info below). A session for “virtual lab tours” is considered at the end of the conference, with the possibility for participants to learn about their choice of several labs around the world. Best student poster prize and best young researcher presentation prize are also planned. In addition, a tutorial program by video-conference is planned in the week preceding the conference.
The IOC/LOC feels that it will be important to publish proceedings for SRF 2021, especially given that other conferences, such as Linac and IPAC, are not publishing proceedings in 2020. Being a virtual conference, we want to ensure that the Information Technology tools provide the best experience possible for the participants. Accordingly, there will be a reduced-rate conference registration fee to cover the IT costs and editing of the proceedings.
